Managing Participants
Handle registration, check-in, attendance, and roster triage from one place.
Viewing Participants
From your tournament's Participants tab you can:
- See registration, check-in, and roster-lock badges at the top
- See the active participant status badge (Even number or Odd number) with current count
- Use the edit (pencil) button next to that badge to open bulk attendance
- Search and sort participants
- Click any participant row to open the participant flyout panel
The table includes participant name, NAF name, payment status, draw availability, and roster state.
Registration Control
Use the registration badge at the top of the page:
- Registration: Open means coaches can still join
- Registration: Closed blocks new joins
- Unlocking is available unless the tournament is completed
Check-In Management
Use the check-in badge at the top of the page:
- Off - Check-in flow is disabled
- Open - Participants can self check-in
- Closed - Check-in has ended for now
From the check-in settings modal you can:
- Open or close check-in
- Start a new check-in day for multi-day events
- Remove check-in state entirely
Participant Flyout Panel
Click a participant row to open the flyout. From here you can:
- Mark paid/unpaid
- Toggle Available for draw
- Set or clear Standby
- Review roster status and roster actions
- Remove/block/unblock participants (with guardrails)
Removing Participants
If someone can no longer attend:
- Open their participant flyout
- Click Remove
- Optionally add a reason
- Confirm
They'll be removed from the participant list but can rejoin if registration is still open. Removal is only available before the tournament has started.
Blocking Participants
For participants who shouldn't be allowed back:
- Open their participant flyout
- Click Block
- Add a reason (for your records)
- They won't be able to rejoin this tournament
Blocking is tournament-specific and intended for moderation. You cannot block an organiser until their organiser role is removed.
Standby Participant
Use standby when you need one participant to flex in/out between rounds:
- Set or clear standby from the participant flyout
- A standby badge appears in participant views for organisers
- Standby is a label only; it does not automatically remove someone from pairings
To actually exclude the standby from a round:
- Open their participant flyout
- Toggle Available for draw off
- This keeps an even number for pairings (avoiding byes)
When you need them back in, simply check them as active again.
Keeping Numbers Even
For Swiss pairings without byes, you need an even number of available participants. Use the Participants page to:
- Mark absent participants as unavailable
- Toggle standby participants in/out as needed
- Watch the active participant status badge for odd/even totals
Watch for the Odd number badge. It means you currently have an odd number of active participants, so one participant will receive a bye.
